Reporting to the Coordination Manager, the Training Coordinator will work primarily on a long-term client specific contract as a key member of a highly qualified and dynamic small team of Graybridge Malkam personnel. The Training Coordinator will also collaborate directly with the client’s team of learning advisors and managers on a regular basis.
Duties and Responsibilities:
The Training Coordinator’s duties and responsibilities include, but are not limited to, the following:
- The timely and cost-effective delivery of assigned trainings in compliance with all client requirements including (when and where applicable):
- Maintain a current, accurate and comprehensive electronic record for each training, including but not limited to: program event title and number, organization name, start and end dates, duration, number of participants, facilitator(s), country resource personnel, subject matter expert(s), language of delivery, location of delivery, logistical data and financial data; and
- Maintain a current, accurate and comprehensive electronic database of qualified facilitators, country resource personnel and subject matter experts.
Coordinate and administer each training event by carrying out the following activities (if applicable):
- In consultation with team members and client representatives, identify, select and assign facilitators, country resource personnel and/or subject matter experts to trainings;
- When required, make travel and accommodation arrangements for facilitators, country resource personnel and/or subject matter experts in accordance with Treasury Board guidelines and client directives;
- Register training participants, obtain and record participant information, provide participant information to the client representative and assigned personnel, and respond to participant questions regarding registration and the training (the nature of registration varies depending on client directives and line of service);
- Distribute and collect needs assessment information using forms provided by the client;
- Arrange and ensure the set-up of the training facility, including audio visual equipment, and on- site logistics;
- Assist in the production (hard and/or soft copies) of training materials for participants, facilitators, country resource personnel and subject matter experts, and ensure that print documents are prepared and delivered according to client standards and deadlines or that electronic copies are available in the Virtual Campus;
- Coordinate and ensure the timely provision of all post-training reports required by the client, including facilitator reports, participant evaluations (compiled if required), coordination and follow-up reports, and ensure that all financial information is entered into a Learning Management System and/or provided to Graybridge Malkam’s financial officer for processing;
- Within one week of completion of the delivery of a training program, update the database of qualified resources by recording country resource personnel and subject matter experts used and their performance, based on client supplied evaluations and facilitator assessments;
- Adhere to the service evaluation and quality control requirements established by the client, and ensure that all of its resources adhere to client service standard and quality monitoring activities
- Maintain at all times current knowledge of the client’s products and services and its clients' mandates, business lines, and service and program delivery mechanisms; and
- Perform other related training coordination, administration and advisory services as required and assigned by Graybridge Malkam Management.
Qualifications/Minimum Requirements:
- A degree or diploma from a recognized university or post-secondary institution;
- Two (2) years demonstrated experience coordinating and administering learning events in the last five (5) years; and
- Native Proficiency in French and minimum of Intermediate English;
- Excellent computer skills and extensive experience using software such as Outlook, MS Teams, Excel, Word and PowerPoint;
- Proven attention to detail and experience in data entry and reporting through a computerized system;
- Experience responding to enquiries from clients and colleagues, and providing accurate and timely information; and
- Be eligible to obtain security clearance (Reliability Status).

Compensation:
$45,000 - $50,000 per year.
